Key Responsibilities:

  • To act as the front office to partners providing tendering related support services in an efficient and cost effective manner, including but not limited to:
  • Check invitation emails and ensure RFPs are bought and downloaded.
  • Coordinate and follow up with partners for RFPs higher than SR 5,000 to buy or not to buy.
  • Coordinate and follow up with partners to ensure decisions to bid are made in timely manner.
  • Prepare responses to general company qualification requests such as submission of legal documents.
  • Receive all partners service requests about opportunities and RFPs, such as clarification questions submission, bid submission extension, opportunity update about cancellation, extension, or awarding, clients’ responses to requests.
  • Manage workload of portal specialists, prioritize and assign tasks to portal specialists such as buying and downloading RFPs, submitting queries on portals, downloading responses and opportunities updates and uploading proposals.
  • Coordinate with Logistics Support and Finance and other relevant functions for buying RFPs, packaging hard copies of proposals and delivery to clients.
  • Monitor opportunities due dates, clarifications due date, pre-bidding meetings due dates, submission due dates and awarding updates due dates.
  • Read RFP submission requirements, including pricing table / BoQ table requirements.
  • Plan for proposals’ physical submissions, if any (including proposals’ printing, packaging and delivery).
  • Prepare opportunities update analysis and statistical reports.

 

Manage access to portals for RFPs download, proposals upload through Etimad and other platforms and portals, including but not limited to:

  • Download RFPs and RFIs and send them to the Opportunity Interact Specialist.
  • Upload responses to general company qualification requests or RFIs through the relevant platforms and portals.
  • Submit queries to clients through the relevant platform and portals.
  • Check response of clients to queries or updates on RFP on hourly basis and share them with the Opportunity Interact Specialist.
  • Receive signed and stamped proposals from partner/proposal manager/Executive.
  • Assistant/Activation Hub through the Opportunity Interact Specialist.
  • Receive the Tender bond, if any.
  • Follow up with the Logistics team to deliver physically the proposals, if any, and receive submission confirmation.
  • Upload proposals in alignment with submission requirements (including filling the BoQ) and take screenshots for submission confirmation.
  • Report any technical issues in submission to Team Lead/Opportunity Interact specialist, to update clients and find alternatives.
  • Send the proposal submission confirmation to Opportunity Interact Specialist.
  • Report any submission challenges and improvement opportunities to Team Lead / Opportunity Interact Specialist and support to solve them.
  • Coordinate with project teams and Finance on billing schedules for active projects to form a view of peaks and troughs of invoicing activities and inform remedial actions.
  • Liaise with project teams on Client to upload the invoice in the system as a first step of invoicing and track until approval is received to enable payment.
  • Maintain Invoices Checklist and conduct initial screening for draft invoices. Coordinate with
  • Account Driver for any changes to be uploaded to microsites.
  • Assume responsibility for invoice submission, troubleshooting until acceptance.
  • Update Invoice Tracker with latest status for ready reference of project teams.
  • Track payments of accepted invoices based on grace payment period and update invoices tracker.
  • Identify and build relationships with financeprocurement stakeholders in the ‘Procure to Pay’ cycle. The project teams are responsible for all interactions with project business sponsors.
  • Create and maintain relevant metrics for management periodic reporting of performed activities (volumes, values, issues, major risks, investments, etc.
  • The overall process including Invoices Submission on portals
  • The Quality Checks on the invoices before submission.
  • Active Projects with invoices status.
  • Update Client Contacts for troubleshooting.
  • Firm wide communication.
  • Financial Statements Confirmation & Reconciliation.
  • Simple translation for invoices description if needed.
  • Site visits for clients to submit the invoices and follow up the payments as needed.
  • Provide clients with supporting documents when requested.
  • Coordinate with PwC’s Finance Department and follow up on New & Old Bank Guarantees.
